For nonprofit grantmakers
Built for nonprofits that give funding
GrantMaid helps nonprofit grantmakers collect applications, coordinate blind or open reviews with separate round forms, hold decisions until release, and track awards in one place.
Many nonprofit software searches assume the organization is applying for grants. This page is for the other side of the process: nonprofits, intermediaries, and community organizations that run funding programs for others.
See GrantMaid in actionKeep the program manageable
Replace shared inboxes and spreadsheet trackers with one place for applications, per-round reviews and decisions you hold until release.
Bring in the right reviewers
Include staff, volunteers, advisors or community panelists without per-seat fees. Choose blind review per round and see agreement and disagreement without averaging different rubrics together.
Stay transparent about cost
One published plan includes the core workflow, unlimited submissions, and unlimited seats.
$200/month or $1,800/year
A grantmaking workflow that fits a lean nonprofit team
GrantMaid keeps the process structured without adding another layer of administration.
Publish a clear application
Collect program-specific information and supporting documents in a consistent format.
Separate eligibility from evaluation
Use a short review form for screening and a longer rubric for finalists. Each round has its own recommendations, scores and reviewer answers; blind review is optional per round.
Coordinate staff and community reviewers
Assign reviewers to selected applications in bulk or distribute a pool evenly, accounting for each reviewer’s existing workload.
Carry decisions into award tracking
Record decisions over time and release them together when ready. Applicants see the announced outcome on their dashboard, not the award amount. Keep award and disbursement records connected to the application.
Choose the system that matches the work
GrantMaid is a strong fit when
- A lean team needs one place for applications, reviews, decisions, and awards.
- Reviewers need clear assignments, rounds, scores, comments, and private feedback.
- Transparent pricing and unlimited seats or submissions matter.
- The team wants to configure the workflow without relying on IT.
Consider a broader system when
- You require a broad enterprise suite, deep custom integrations, or complex multi-entity administration.
- Your primary need is finding grants to apply for rather than administering a grant program.
- Your procurement process requires capabilities or certifications that have not yet been verified for GrantMaid.
Questions teams ask before they switch
Is GrantMaid for grantmakers or grantseekers?
GrantMaid is built for organizations that give money away and administer grant programs. It helps teams collect applications, coordinate reviews, record decisions, and track awards. Public opportunity pages help applicants view real programs when a customer publishes them.
Can we create custom application forms?
Yes. GrantMaid includes a drag-and-drop form builder with 14 field types. Funders can name and rename each form, and the builder shows which questions can be grouped or totalled in a program report. A question can stop being asked without losing answers already collected; those answers stay on the application and in exports.
Does GrantMaid support multiple review rounds?
Yes. A program supports up to 10 active rounds, each with its own editable review form and criteria. A new program starts with Applied, but that name is only a default. Rounds can be added, and every round, including the first, can be renamed, reordered or archived. A program keeps at least one active round, and a round holding applications cannot be archived. Admins move applications manually and assign reviewers individually, in bulk or evenly across a pool with existing workloads taken into account. Bulk assignment sends one digest per reviewer.
Are user seats or submissions capped?
No. GrantMaid’s published plan includes unlimited user seats and unlimited submissions.
Can we see where reviewers agree or disagree?
Yes. Admins can read recommendations, the average score, an explicit disagreement warning and every reviewer’s full answers for each round on the application. A quick screen and a finalist rubric are kept separate, not averaged together. Reviewers cannot see one another’s answers.
How are decisions and awards different?
A decision and an award are separate records. An application can be marked Successful before any award amount is recorded; recording an award announces nothing. Funders release decisions separately on applicant dashboards, which never show award amounts. Awards record amounts and disbursement details. Corrections use signed adjustments with a required reason; the original award entry stays intact. GrantMaid does not move money.
Can we build custom reports?
Yes, within one program at a time. A saved report is shared with everyone who can manage that program, helping the team standardize on the same view. Only its creator or a super admin can change or delete it. Seven fixed reports cover cross-program questions; the custom builder does not span multiple programs.
How much does GrantMaid cost?
GrantMaid publishes one plan at $200 per month or $1,800 per year. A two-week free trial is available.
Can we review applications anonymously?
Yes. Blind review is configured per round, so you can screen anonymously and review finalists openly. Reviewers see a short reference instead of the applicant’s name. Answers to questions the funder marks as identifying are withheld too; the funder must choose those questions.
Can we weight criteria and define what each score means?
Yes. Each round’s review form can use criterion weights in points, which do not need to total 100, and anchors that describe what each score means. You can withhold the weighting from reviewers or collect a rating without including it in the score. Standard criteria use 1–5; a nominated score question can use your own scale. Scores stay within their own round; they are not compared across rounds or programs.
When do applicants see the decision?
You decide when applicants are told. Record Successful, Unsuccessful or Withdrawn with your own words, then hold decisions until you are ready to release them together. Held decisions remain editable. Announcing updates the applicant’s dashboard; no decision email is sent. Applicants see neither review rounds, scores, reviewer feedback nor award amounts. An announced decision is final and cannot be changed, unannounced or deleted. Withdrawn is a funder-recorded outcome, not applicant self-service. Award terms or next steps can be sent separately using manually composed bulk email to selected applicants.
