For foundations

A clearer workflow for every review cycle

GrantMaid gives private and community foundations a focused system for applications, multi-round review, decisions, and award tracking, with unlimited user seats and submissions.

Foundation teams need enough structure to support staff, boards, and community reviewers without turning each funding cycle into a systems project. GrantMaid keeps the core work visible from intake through award.

See GrantMaid in action

Design applications around the program

Create program-specific forms and collect required documents without waiting on a developer.

See where the committee differs

Read how recommendations fell, the average score, an explicit disagreement warning, and each reviewer’s full answers on the application.

Keep award activity in context

Track the award decision, amount, disbursement date, and payment method without splitting the record across spreadsheets.

From open call to recorded decision

A focused system helps a small foundation team run a repeatable process while keeping room for human judgment.

1

Configure the funding cycle

Set up the application, required documents, deadline, and review path for the program.

2

Prepare reviewers

Assign staff, board members, or panelists in bulk, balance a pool across existing workloads, and use a review form with your own verdict and score questions.

3

Move qualified applications forward

Use named rounds to show where each application stands, then move it forward manually when the team is ready.

4

Record awards and follow-through

Keep the award amount, disbursement date, and payment method tied to the decision record.

Choose the system that matches the work

GrantMaid is a strong fit when

  • A lean team needs one place for applications, reviews, decisions, and awards.
  • Reviewers need clear assignments, rounds, scores, comments, and private feedback.
  • Transparent pricing and unlimited seats or submissions matter.
  • The team wants to configure the workflow without relying on IT.

Consider a broader system when

  • You require a broad enterprise suite, deep custom integrations, or complex multi-entity administration.
  • Your primary need is finding grants to apply for rather than administering a grant program.
  • Your procurement process requires capabilities or certifications that have not yet been verified for GrantMaid.

Questions teams ask before they switch

Is GrantMaid for grantmakers or grantseekers?

GrantMaid is built for organizations that give money away and administer grant programs. It helps teams collect applications, coordinate reviews, record decisions, and track awards. Public opportunity pages help applicants view real programs when a customer publishes them.

Can we create custom application forms?

Yes. GrantMaid includes a drag-and-drop form builder with 14 field types. Funders can name and rename each form, and the builder shows which questions can be grouped or totalled in a program report. A question can stop being asked without losing answers already collected; those answers stay on the application and in exports.

Does GrantMaid support multiple review rounds?

Yes. Teams can configure up to 10 named review rounds and move applications through them manually. Admins can assign chosen reviewers to selected applications or distribute a whole pool evenly across reviewers, accounting for each reviewer’s existing workload. Bulk assignment sends one digest per reviewer. Each program’s editable review form can nominate a verdict question and a score question with its own scale.

Are user seats or submissions capped?

No. GrantMaid’s published plan includes unlimited user seats and unlimited submissions.

Can we see where reviewers agree or disagree?

Yes. Admins can read the committee summary on the application: how recommendations fell, the average score, an explicit disagreement warning, and every reviewer’s full answers. Reviewers cannot see one another’s answers.

What happens after a decision?

Teams can keep the award decision, award amount, disbursement date, and payment method together. If an amount needs correcting, admins record a separate adjustment with a required reason; the original award entry is never altered and budget figures update accordingly.

Can we build custom reports?

Yes, within one program at a time. A saved report is shared with everyone who can manage that program, helping the team standardize on the same view. Only its creator or a super admin can change or delete it. Seven fixed reports cover cross-program questions; the custom builder does not span multiple programs.

How much does GrantMaid cost?

GrantMaid publishes one plan at $200 per month or $1,800 per year. A two-week free trial is available.
